How to Make Changes to a Closed Encounter?

Once an encounter is closed, you cannot make changes to it unless it is one of the following sections:

- Charges

NOTE: If the claim has already been transmitted, changing the charge codes will cause the claim to go back to Pending in order for your billers to see it

- Referrals

This is so a Referral Coordinator has the flexibility to change the Referral Provider after the encounter is closed

 

Two other things to keep in mind:

- Lab Orders can be altered from the Dashboard -> Orders Management -> Pending Labs screen. This gives your phlebotomist flexibility with the orders.

- Encounter Notes can be added after an encounter is closed, but they will go in a separate section labeled "Addendum Notes"

 

In order to re-open an encounter for editing after it has been closed, there are two ways:

 

1. Use the Re-Open button on the Encounter Heading:

 

 

This will re-open the encounter for full editing. It will also create a new "Change Num" or version of the encounter

which can be seen from the Status Hx pop-up window:

 

 

2. Rollback the Closed Status which is done from the Status Hx Pop-up window:

NOTE: This will keep the Change Num the same

 

 

You will be asked are you sure, just answer Yes. This will keep the current Change Num and re-open the encounter for editing.
