If you have accidentally added an encounter or a duplicate encounter these are the steps to delete the encounter.
You will right click on the encounter you would like to delete and then select ‘Delete’
A pop up will come up confirming if this is the encounter you would like to delete, if so you will select ‘yes’
This should delete this now. BUT if you get a popup that you ‘Cannot delete Encounter..’ This may be due to a few reasons.
- Make sure all cpt charges are deleted from this encounter
- Make sure no payment has been posted to this encounter. If so, you will want to credit transfer or void this posting of the payment. This will not delete the payment from the system, only where this is applied to.
- If this encounter has already been transmitted to the insurance, you will not be able to delete this encounter. Due to auditing purposes this encounter will need to stay in the chart. Once a response from insurance has been received then a reversal of the claim can be sent out. We recommend you can still delete all information in this encounter and maybe add a note or claim note to indicate why this encounter must be saved in the chart due to auditing purposes and that this claim was transmitted to insurance already in case you ever need to see records on why this encounter remains in the patients chart.
- You can see if a claim has been billed out by going to chargesà claim Infoà Status HX.
If you have followed all these steps and the encounter was not transmitted to insurance yet and you are still unable to delete this encounter, please contact support.
