How to Fix Immunization Errored Transmissions

From the Dashboard -> Orders Management -> Errored Immunization Transmissions you can see all the immunization records that failed to be sent to your state registry. These are all the immunizations that are typically missing mandatory information, so they cannot be transmitted to the state. To fix these errors: Users must click on the cell for each “Error Details” to see what the error is. Then on the pop-up, correct the missing data and then select the button  "Queue for Transmission"

 

Common errors:

The answer for question 'Vaccine funding program eligibility category' is missing.

The answer for question 'Vaccine  funding source category' is missing.

  • These are patient specific, you can see on the Immunization screen – the questions shaded in RED are mandatory and must be answered in order for them to be transmitted

 

  • If you answer them on Patient Info -> Demographics -> User Defined Fields, they will auto populate for the patient each time:

 

 

The answer for question 'Published Date of vaccine info statement' is missing.

  • This is normally set on the Immunization itself one time and then used…. Go to Admin -> Encounter Related Lists -> Immunization List, scroll to the right on the immunization row and ensure there is the VIS publication date there. Most of your yours have it.

All patients under the age of 18 must have at least one personal contact.

  • Users will have to go back into the patient's chart to add in a personal contact. They would not be able to enter the information on the pop-up screen, but any other information that needs to be edited for the immunization can be done on the pop-up screen as a one time case.
