How to block off dates/times on scheduler for specific appointments

Blocking off scheduler for specific appointments and scheduling the appropriate appointment in these blocked out times.

You have two options which you can follow for this:

 

  1. From Admin tab (bottom of screen) -> Lists -> List item entry -> Appointment task type…

You can create many appointment task types that have the behavior of "Non Patient Care" These are the types of "Appointments" that are not for any particular patient but rather allow you to block off staff time. For example: Holiday, Out of Office, Conference, etc. 

You can add additional task types by directly typing in the bottom, blank row (below “out of office” in the example below)

 

 

Select the date on calendar you wish to block -> right click to create new appointment.

 

Enter new appt type on calendar and add as all day appt or specific time (eg. 8am -5pm). Appointment can be made with recurrence as well. Select Save to save and refresh the Scheduler screen.

 

 

 

  1. One other option is to add an All- Day appointment which should be shown at the top under the resource name. Users would have to hover over it to see the full text:

 

Scheduling in these blocked out times:

Now that you have blocked off the scheduler for these specific appointments, you can also still schedule on these blocked appointment slots without having to ‘unblock’ these.

When you are looking at the scheduler and see the ‘blocked’ times this is more of a visual cue for the staff so that an appointment that does not need to be in this time slot is not scheduled.

To double-book, just right click in the small open space to the right of the spot and click ‘New Appointment’.
